About Us: Established in 1980, National Truck & Van Rental has accumulated extensive expertise in commercial vehicle hire over the years. As a part of the Johnson and Perrott Motor Group, we are excited to invite applications for Admin Assistant to join our Ballycoolin team

Job Summary: The Accounts & Admin Assistant will report directly to the Finance Manager.

Responsibilities Include but Are Not Limited To: As an Admin Assistant, you will be trained to in the following areas:

  • Tolls / Fines / Taxation: Liaising with the relevant team members and customers to ensure Toll Charges, Parking and Speeding Fines and Motor Tax Renewals are processed.
  • Sales Support: Assisting the sales team with vehicles sales process and removal of vehicle from systems.
  • Reconciliation: Undertaking Credit Card Reconciliation
  • Invoicing: Collate all invoices raised during the month into Master Invoices for Clients, Issue invoices to customers re additional charges.
  • Contract Schedule: Update and maintain contract schedule with deletions and additions and advising client of the same.
  • Reporting: Undertake comparative reporting on pipeline & vehicle purchases
  • Insurance: Monitor and maintain accurate insurance records of customers
  • CVRT: Issue CVRT certs to customers & request replacements where required.
  • Stationary: Sourcing and Ordering of Stationary for the site.
  • New Vehicle Packs: Generate a new vehicle pack for each purchase vehicle and update system.
  • Monthly Contract Invoices: Prepare monthly contract vehicle invoices.

Required Education, Skills, and Qualifications:

  • Communication: Demonstrating excellent communication skills
  • Computer Proficiency: Exhibiting a high standard of computer literacy, especially in Intermediate Excel (Vlookups, Pivot tables).
  • Analytical Skills: Demonstrating strong numeracy, problem-solving, and attention to detail.
  • Time Management: Proactively managing ones own time efficiently.
  • Problem-Solving: Maintaining a solutions-oriented mindset.
  • Licence: Holding a clean and valid driving license.
  • Accounts Experience: Having at least 1 years of previous experience in an accounts department
  • System: Experience with Fleet Kompact / Key Loop is a significant advantage.
