Job Summary: The Accounts & Admin Assistant will report directly to the Finance Manager.
Responsibilities Include but Are Not Limited To: As an Admin Assistant, you will be trained to in the following areas:
- Tolls / Fines / Taxation: Liaising with the relevant team members and customers to ensure Toll Charges, Parking and Speeding Fines and Motor Tax Renewals are processed.
- Sales Support: Assisting the sales team with vehicles sales process and removal of vehicle from systems.
- Reconciliation: Undertaking Credit Card Reconciliation
- Invoicing: Collate all invoices raised during the month into Master Invoices for Clients, Issue invoices to customers re additional charges.
- Contract Schedule: Update and maintain contract schedule with deletions and additions and advising client of the same.
- Reporting: Undertake comparative reporting on pipeline & vehicle purchases
- Insurance: Monitor and maintain accurate insurance records of customers
- CVRT: Issue CVRT certs to customers & request replacements where required.
- Stationary: Sourcing and Ordering of Stationary for the site.
- New Vehicle Packs: Generate a new vehicle pack for each purchase vehicle and update system.
- Monthly Contract Invoices: Prepare monthly contract vehicle invoices.
Required Education, Skills, and Qualifications:
- Communication: Demonstrating excellent communication skills
- Computer Proficiency: Exhibiting a high standard of computer literacy, especially in Intermediate Excel (Vlookups, Pivot tables).
- Analytical Skills: Demonstrating strong numeracy, problem-solving, and attention to detail.
- Time Management: Proactively managing one’s own time efficiently.
- Problem-Solving: Maintaining a solutions-oriented mindset.
- Licence: Holding a clean and valid driving license.
- Accounts Experience: Having at least 1 years of previous experience in an accounts department
- System: Experience with Fleet Kompact / Key Loop is a significant advantage.
